Manage
Contacs
A contact can have multiple roles, such as customer, supplier, external partner, employee, etc. Contacts can be automatically synced to your mobile device via the CardDAV protocol. Each contact can have multiple phone numbers, email addresses, URLs, and social media profiles. Add photos and attached files. You can also include biographical information, such as date of birth, marital status, Social Security number, etc. Multiple addresses and location (longitude and latitude). Export data to Excel.

Groups organized in a tree structure for easy management/searching, e.g., Domestic and International Wholesale Customers
VIES EU VAT Number Verification
Check whether an intra-Community VAT number is valid and the company name.
Users
Create as many users as you want. Each user will log in with their own credentials. Set permissions for each user. Which items they can view, what they can edit, and what they can delete. Limit access to specific items, e.g., only to Company A’s retail receipts. 2FA support.
Products
Add photos to each product. Different retail and wholesale prices, with or without VAT. Special offer prices (discounts) for a specific period. Complex pricing based on quantity, e.g., if the quantity is >=100, then a 10% discount; if it is >=200, then a 20% discount. Item types: Merchandise, product, service, digital.

Products Attributes

Series
In each journal, add as many entries as you like, e.g., TPY-A, TPY-B, ALP-A, ALP-B

Print Forms
Create or edit the print form. Upload your logo. The print file format can be PDF, HTML, or JPG. Customize the print layout using the dynamic HTML tool. Automatically send the printout to a physical printer via the gks ERP App Desktop. Create as many print forms as you want in any language you want.
eshops
WooCommerce is supported. Automatic import of products from WooCommerce into the ERP. Automatic import of orders, either as an order or as a document.
Application Settings
Set the app logo in various sizes. Configure the app settings, e.g., app name, currency, date, time, user roles, email sending, Google Maps API key, AWS bucket key, and social media integration. You can disable features you don’t need, e.g., batches/serial numbers, CRM tasks, production, fixed assets. You can set up global CSS to customize the interface to your liking.
User Settings
Each user can customize their own settings, such as font, font size, menu placement (top or left), which notifications they want to receive, the order of fields in documents (type -> quantity-> price, etc.), and syncing contacts on their phone with CardDAV and their calendar with CalDAV. They can set their own CSS to customize the interface to their liking.
Customization
For each main object—such as a contact, document, or item—you can add your own fields, such as text, a number, a contact, or a list. These fields can also appear on print forms.

Create your own items/lists. Each item can have multiple fields, including text, number, dropdown list, date, time, contact, type, etc. Create as many lists as you like.

Leads
Enter sales opportunities (leads) or referrals. Set projected revenue. It could be as simple as a phone number from a potential customer. Contact forms from your website can be automatically recorded. Mark an opportunity as pending/won/lost, etc. Define the stages of an opportunity. Assign it to an employee. Opportunity change history. Add files to each opportunity. Link an opportunity to another application object (e.g., order, payment, document). Set the sales channel.
Activity
Set your tasks. What do you need to do by, say, tomorrow? Make a phone call, send an email, don’t forget to send a quote, schedule a meeting, etc. Set the task statuses, e.g., New, Done, Canceled. Calendar

Tasks
Manage your company’s tasks. Assign tasks by employee, by task, by device, track task costs, time tracking, etc. Convert tasks into invoices. Synchronize your tasks with your mobile device via CalDAV. Set your own task statuses, e.g., Draft, To Do, Completed, Unable, etc.
Devices
Management of customer devices. For example, Customer B’s Boiler A located at Site C. What work has been performed on the device, when, by whom, etc.
Campaigns
Save your campaigns so you can use them in opportunities, orders, invoices, etc. This will allow you to measure a campaign’s performance
Short URL
Create short URLs to use in QR codes, advertisements, or elsewhere. Tracking short URLs allows you to measure the performance of, for example, a QR code. The destination of a short URL can be easily changed without having to change the short URL itself, such as a QR code.
SMS
Send SMS messages directly from the app. Create your own text message templates. SMSAPI.com is supported for sending only. Our free gks ERP App Mobile is supported. Install it on an Android phone and you’ll be able to send SMS messages directly from the ERP using the phone’s mobile carrier. The recipient will receive a message from a real mobile number. The recipient can reply, and you can view the reply within the ERP. You can send your quote/invoice via SMS to the customer quickly and easily. Check whether the SMS has been delivered.
Viber Bot
The Viber bot can be used. Upon agreement. It is typically intended for internal use within the company so that each employee can interact with the ERP system using the Viber bot’s features, such as requesting time off.

Product Stock

Select a product type if you want to manage it by lot or serial number. Add lots with production and expiration dates either directly or via a delivery note or invoice. Add attachments (photos, PDFs) and activities.
Balances Lots - Serial Numbers
View the remaining stock of each item by lot/serial number in each warehouse and how it was calculated. When issuing a document, view the remaining stock by warehouse immediately.

Workstations
Specify the workstations where tasks are performed and which tasks are assigned to each workstation. Assign an employee to work at that specific workstation. An external contractor can be assigned to a workstation.
Bill of Materials
Define the formula for producing a product. Specify the ingredients/materials to be used and their proportions. Specify the production costs, e.g., €2 in electricity for each unit of product produced.
Select Workstation
The employee selects the workstation where they are working and chooses which task to perform. The start time and end time of the work are recorded. This gives us the total time required to complete an order.
Production Line
For every order, we know what percentage of completion it has reached, which tasks have been completed and which have not, which employees worked on them, how long it took, and so on.

Intensive Retail
Set up your own Intensive Retail points. Specify the company, calendar, series, items, customer, etc. The operator will have a digital electronic cash register in front of them. They will enter the item and amounts, and the retail receipt is ready. The Intensive Retail Point also works through the free gks ERP App Mobile for Android phones. The receipt can be printed either on a standard A4 printer, a thermal printer, or the built-in thermal printer of the All-in-One Android device. You can issue retail receipts on the go. For card payments, the Viva, ePay, and Worldline apps are supported. Digital signatures from the YLIDA provider are supported.

Manage your fixed assets. Define the type of fixed asset, e.g., Computers, Laptops, Mobile Phones, Vehicles, POS. Create your own types. Favorites

Bulk SMS/email campaign
When viewing a list related to contacts—such as contacts, documents, tasks, opportunities, etc.—we can easily send a bulk SMS or email to all of these contacts. If we use the free gks ERP App Mobile for Android, the SMS messages will be sent from this mobile device, and the recipients will be able to reply.

gks ERP App
This is the core cloud-based application. It allows you to create a website under your company’s name, such as mybusiness.gks.gr, where your application will be hosted and available exclusively for your use.
To access the application, all you need is an internet connection and a modern web browser, such as Google Chrome, Mozilla Firefox, Microsoft Edge, etc.
The application can be accessed from a computer, a tablet, or a smartphone.
Wherever you are—at the office, in a store, or at home—you can access the app as long as you have an internet connection on your computer, tablet, or smartphone.
The app’s design is responsive, meaning it automatically adapts to the current browser window.
The website has an SSL encryption certificate for greater security.

gks ERP App Mobile
This is the app for Android phones. It is directly connected to your gks ERP App. It offers features for intensive retail operations, sending and receiving SMS messages, GPS tracking, and scanning purchase receipts for QR Code scanning.
gks ERP App Desktop
This is the application for Windows-based computers. It is directly connected to your gks ERP App. It allows you to send print jobs—such as an invoice—to a physical printer. Whether it’s an A4 printer or a thermal printer, as long as it’s supported by Windows. It also provides support for certain payment providers.
